Welcome to the Workflow Feature (Beta)

The Workflow feature is a powerful tool designed to streamline and automate your HR processes, making them more efficient and less time-consuming. Whether you're managing employee sick leave, onboarding new hires, or handling other recurring HR tasks, Workflows provide structure and clarity, allowing you to focus on what truly matters—your people.

Key Concepts to Get Started

Before diving into the Workflow feature, here’s what you need to know:

1. Templates

What are Templates?

Templates are reusable plans for recurring HR tasks, such as onboarding new employees or managing sick leave. They aren’t tied to a specific employee and can be used repeatedly.

Why Use Templates?

Templates save you from starting from scratch each time by defining the tasks and steps once. They provide consistency across similar processes, ensuring nothing is forgotten.

2. Workflows

What are Workflows?

A Workflow is the actionable version of a Template. It’s a customized task list for a specific employee or situation.

How to Use Workflows:

  • One-time workflow: Create a Workflow step-by-step, customizing every task, deadline, and assignment.

  • From a Template: Start with a pre-built Template and adapt it to a specific employee or situation.

3. Triggers

What are Triggers?

Triggers decide when a Workflow begins. You set these when creating a Template.

  • Automatic Triggers: These start workflows automatically based on predefined conditions (e.g., an employee reports sick leave).

  • Manual Triggers: You start these workflows manually when needed.

FAQ

Will employees be notified of their tasks?

Yes, employees assigned tasks within a workflow will receive email and in-app notifications to keep them on track.

Can I customize pre-built templates?

Yes, you can duplicate and modify pre-built templates to better fit your company’s needs.

What happens if an employee doesn’t have a manager assigned, but tasks are assigned to the manager?

If an employee doesn’t have a manager assigned, tasks will be automatically assigned to the template creator in case of an auto-triggered workflow. For manually triggered workflows, the tasks will be assigned to the person who initiated the workflow.

Can a workflow be triggered for an employee without tasks assigned to them?

Yes, but the employee will not receive any notifications unless they are assigned specific tasks within the workflow.

Who has access to the Workflow feature?

Admins and Owners have full access, while Managers and Employees can view and manage only their assigned tasks.
