Information about the BETA of Analytics in Alexis HR

Welcome to the Analytics Beta Program!

Thank you for your interest in joining the beta testing phase of our new insights/analytics features. As a participant in this beta program, you play an important role in shaping the development and refinement of both the user flow as well as the design.

What is a Beta Program?

A beta program is a testing phase for a newly developed software or technology before its full public release. It serves as an opportunity for real users like you to engage with the product in a real-world environment. Your participation helps us identify any issues, gather insights about user experience, and understand the tool's effectiveness in everyday scenarios.

What You Can Expect

As a beta tester of Analytics, you will gain early access to our latest features. Here’s what you can look forward to:

  • Early Access: Experience the newest features before they are available to the public.

  • Feedback Opportunities: Your insights are invaluable. You will have direct lines of communication with our product team to provide feedback and suggest improvements.

  • Progress Updates: Stay informed with regular updates. As the feature evolves, you’ll receive insights into what changes are being made and why, keeping you involved in the development process.

Current state - here's what you can do:

Status : BETA 1.1 - Overview page, creation and edit of FTE% and Headcount widgets.

  • Analytics and the overview page is only visible to Owners.

  • All information on the overview page will visible to all Owners regardless of who created/edited a widget.

  • You can create, edit, add, delete widgets.

  • You can have 1,2 or 3 widgets per row

  • All Widgets can by be grouped by and filtered by:

    • All employees (default)

    • Departments, Offices, Teams, Employment types, Organizations, Gender, Age

1: Top fixed widgets

Contains the following data

Total headcount

  • This calculates the current (todays) amount of active employees.

    • If clicked a more detailed modal opens up showing more details on the gender distribution.

Full time equivalents (FTE%)

  • This calculates the current (todays) amount of active employees and takes their employment rate into consideration. 2 employees with 50% employment rate would be calculated as 1 FTE.

    • If clicked a more detailed modal opens up showing ranges for the different employment rates and the amount of employees within each range.

Joiners/Leavers (YTD)

  • How many employees in total that has joined the company or left the company since the start of the current year.

Average employee age

  • This calculates the current (todays) amount of employees and their age and then divides it by the number of employees.

    • Date of birth field is required.

Company average tenure

  • This calculates the total tenures of the employees in the company. Their first start date up until today. Then divides that number by the amount of employees.

AI bot

Will open the AI bot conversational window where you can ask the bot questions related to insights data.

Currently defined to answer all available KPIs grouped by office and month

  • headcount insights will give you the headcount grouped by Office for the last 6 months.

    • The headcount for each month is calculated by the last day of the month

      • prompts

        • "show me headcount!", "give me headcount!"

  • insights tenure

    • The tenure is calculated by the last day of the month.

      • prompts

        • "insights tenure!", "give insights tenure!"

  • insights turnover

    • The turnover is calculated by the last day of the month.

      • prompts

        • "turnover!", "give me turnover!"

FTE% widget

FTE % is used to see how many Full Time Equivalents you have hired and indicates employment rate of an employee. Ex. 2 employees with 50% employment rate = 1 FTE.

This KPI requires that the employees have an employment with a defined employment rate.

You can create up to a total of 15 widgets in one page currently, and you can create multiple ones with different date ranges, grouping and filtering.

When creating a FTE% widget you can select:

  • Date range , for what period the widget should show data.

  • Group by Category, by what category you want the data to be grouped (all employees is the default)

  • Select Category items, if you want to have all the category options or only some. In the example below the chart will group by category departments, but only show data for the department Frames, Wheels & Bike Service.

  • Filter, if you want to make additional filters to your data. In the example below the chart will group by category departments, but only show data for the department Frames, Wheels & Bike Service AND for the employees that are permanent employed.

  • Chart type , select between line and barchart.

  • Name of the chart, the name displayed on the widget.

Headcount widget

Headcount is used to see how many actual employees (heads) are active (hired) at a specific time.

You can create up to a total of 15 widgets in one page currently, and you can create multiple ones with different date ranges, grouping and filtering.

Just a quick note: New graphs and widgets may take a little extra time to load since we're processing lots of data for you.

When creating a Headcount% widget you can select:

  • Date range , for what period the widget should show data.

  • Group by Category, by what category you want the data to be grouped (all employees is the default)

  • Select Category items, if you want to have all the category options or only some. In the example below the chart will group by category departments, but only show data for the department Frames, Wheels & Bike Service.

  • Filter, if you want to make additional filters to your data. In the example below the chart will group by category departments, but only show data for the department Frames, Wheels & Bike Service AND for the employees that are permanent employed.

  • Chart type , select between line and barchart.

  • Name of the chart, the name displayed on the widget.


    A friendly reminder, adding new widgets can take a little longer to appear as we process lots of data behind the scenes.

Turnover % Widget

Turnover % is calculated as a percentage of leavers (offboarded employees) during a period divided by the amount of active employees at the beginning of that period.

Just a quick note: New graphs and widgets may take a little extra time to load since we're processing lots of data for you.

When creating a Turnover widget you can select:

  • Name of the chart, the name displayed on the widget.

  • Date range , for what period the widget should show data.

  • Group by Category, by what category you want the data to be grouped (all employees is the default)

  • Select Category items, if you want to have all the category options or only some. In the example below the chart will group by category departments, but only show data for the department Frames, Wheels & Bike Service.

  • Filter, if you want to make additional filters to your data. In the example below the chart will group by category departments, but only show data for the department Frames, Wheels & Bike Service AND for the employees that are permanent employed.

  • Additional filter, be able to select if you want to include all leavers or only those with a voluntary leave or involuntary reason for leaving.

  • Chart type , select between line and barchart.

Absence % widget

Absence % is the number of “absence leave time” divided with the defined work week hours (minus bank holidays) for the same period.

Just a quick note: New graphs and widgets may take a little extra time to load since we're processing lots of data for you.

When creating a Absence % widget you can select:

  • Name of the chart, the name displayed on the widget.

  • Date range , for what period the widget should show data.

  • Group by Category, by what category you want the data to be grouped (all employees is the default)

  • Select Category items, if you want to have all the category options or only some. In the example below the chart will group by category departments, but only show data for the department Frames, Wheels & Bike Service.

  • Filter, if you want to make additional filters to your data. In the example below the chart will group by category departments, but only show data for the department Frames, Wheels & Bike Service AND for the employees that are permanent employed.

Absence days widget

Absence days is the number of “absence leave time” per day, divided by the defined hours for that day as defined in work week settings. Example : If 8 hours is defined in the work week settings and the employee is absent 6 hour for that day then the absence in days is 0.75.

  • Name of the chart, the name displayed on the widget.

  • Date range , for what period the widget should show data.

Absence hours widget

Absence hours is the “absence time” in hours for the selected period. Example, an employee has in their work week settings 8-12, 13-17 on a Friday and is absent 14-17. Absence hours is then 3.

  • Name of the chart, the name displayed on the widget.

  • Date range , for what period the widget should show data.

Joiners / Leavers widget

Joiners is defined by the employees hiredate, and the leavers by their offboarding date.

  • Date range , for what period the widget should show data.

  • Group by Category, by what category you want the data to be grouped (all employees is the default)

Pro tip! If you cmd+ click on the employee the profile will open up in a separate tab.
