How to report a whistleblowing case

Each organization is responsible to ensure their employees and other external parties are aware on how to report a case via with the Whistleblowing Portal in Alexis. In these situations, we at Alexis provide the organizations and individuals with the platform to handle and report their cases but it is still up to each company to set their own processes and rules so it abides to local laws and regulations.

This article will show you how to report a case with Alexis' Whistleblowing platform which in turn needs to be manually enabled in Settings > Whistleblowing by the organization before it can be used.

File a report

  1. The organization and/or your employer should have made it clear and visible for you as in how you can access the URL to the portal. When you can clicked on the URL then you will see two options - "Follow up on a case" and "File a report" where you will choose the latter to submit a new case.

  2. Fill in the subject title and add your description. The more details you can add, the easier it will be for the Case Handler to take the appropriate action.

    1. If you want to, then you can also add your contact details but if you want to stay Anonymous then leave these fields empty.

    2. If you want to receive email notifications for updates on your case then you can add your email BUT do make a note that this will be visible information to the Case Handler.

    3. If you are not interested in leaving any type of contact information or email then leave everything empty. You can still follow on your case manually regardless.

  3. After selecting "Submit", you will see a popup asking you to copy and store your unique case code. Please make sure you have properly saved this as this will not be possible to retrieve again if you accidentally lose it. This code will grant you access to follow up on your case after submitting it.

  4. Your Case Handler will now receive an email notifying them that a new case has been reported.

Note: Don't forget to store your unique case code somewhere safe since you will not be able to retrieve it again of lost.

Follow up on a case

In instances where you would like to follow up on your case or perhaps add additional comments or attachments, you can always do so manually with the help of your case code which you received when you submitted your case.

  1. Open up the Whistleblowing Portal and select "Follow up on a case".

  2. Enter your unique case code and click "Go to report".

  3. Check in on new comments or conversations between you and the Case Handler or perhaps add more information to further strengthen your report.

  4. If needed, you can also close (or re-open) your case as you see fit.

Keep in mind that you will not receive any email notifications about your case unless you have left your email address when submitting your report.
