Adding AlexisHR app in Teams

First, AlexisHR needs to be added in your Teams app. How to add the chatbot to your Teams you need to search for AlexisHR among the apps in Teams. Add AlexisHR and type "login" to connect your Alexis account, and follow the instructions.

Using AlexisHR app in Teams

When prompting "help" you will receive an overview over the available feature supported by the chatbot.

From here you can perform directly three different actions:

Time off

Employees can easily request time off for which will be approved directly (if no approval flow is set up) or sent for an approval to the manager or any other assigned approver

The approver will get a notification in their Teams and has the opportunity to review the request and approve or reject the request

The approver will get a notification in their Teams and has the opportunity to review the request and approve or reject the request

Remote work

If your company allows for remote work, employees can register that for the full day or parts of the day via the chatbot.

Time off Balance

If employees would like to get more information on spent as well as available vacation days they can get the overview by prompting the balance.

AI Support in the AlexisHR Chatbot

AlexisHR uses Natural Language Processing (NLP) to analyze questions and generate personalized responses based on your role and permissions, currently available for:

  • Handbooks

    • Access

    • Digest

  • Profiles

    • Show employee profiles and fields

    • Edit employee profile fields

At this time, the chatbot is primarily designed to provide responses to individual queries and is not able to engage in conversations or handle follow-up questions.

Handbook

In order for the chatbot to answer any queries about handbooks, it is necessary to create a handbook first. Once a handbook exists, the bot will be able to provide relevant information if your inquiry matches information in your handbook.

When communicating with the chatbot about content of Handbooks, it's important to include one of the following keywords, "Handbook" or "Policy," to help the bot understand that you are seeking information from the handbook.

When asking "Show me my handbooks" you will get a summary of all handbooks that have been published and made accessible to you.

By clicking on a handbook you will be able to access the handbook of you choice.

If you do not want to read the whole handbook but are curious to find information about a specific topic that is included in any handbook you have access to, you can instead prompt a digest of the section you are looking for.

Here are a few examples of how you can ask the chatbot for information from any handbook:

  • "What is our policy for reimbursements?"

  • "What does our handbook say about remote work?"

  • "Do we have a dress code policy?"

  • "According to our Handbook, am I allowed to bring my pet to the office?"

  • "What does our handbook say about workplace safety and emergency procedures?"

  • "Is there a policy in our handbook regarding social media usage?"
"According to our handbook, what is the policy regarding time off and vacation?"

Keep in mind that the chatbot only will provide information and generate answers if there’s information in your handbook that matches the topic of the inquiry.

Profile

Keep in mind that the chatbot can only present or edit fields that you have access to according to your permission.

Although the chatbot is a versatile tool, please note that it is not capable of displaying or updating all profile fields. There may be certain profile fields that are not accessible through the chatbot yet. We are planning to expanding access to all relevant fields in profiles in the near future.

Here are a few examples of what you can ask the chatbot to show and update:

  • Profile: Show me my profile.
